Easy Water Dispenser Rental for Your Office Needs
Renting a water dispenser for your office: what to expect and what to ask
Renting a water dispenser means the company that owns the machine looks after it, and you pay a monthly fee instead of buying equipment and finding someone to maintain it. At Aqualume that fee covers the machine, installation, scheduled service and repairs, and we rent to businesses only: offices, clinics, studios and similar workplaces. We do not sell machines and we do not rent to homes. This guide covers what a rental involves for an office, how bottled and bottleless water cooler rentals differ, what to ask about price and the contract, and how to judge a provider. The short version for our own plans: they start at $80 a month per dispenser*, replacement filters are billed separately about once a year, the term is set for your site and confirmed in writing, and a free 7-day trial with a site visit comes first. If your office has a water line nearby and nobody wants to carry jugs, the rest of the page should help. If it does not fit, the page should say why.
What a rental gets you
Renting gets you a working machine and someone to service it, with no equipment to buy up front and no repairs to arrange yourself.
The rental pairs the machine with service: installation, scheduled visits and repairs. We deal with the filters and the parts that wear, and you deal with a monthly fee and a place to put the unit.
For a business that means fewer chores, the same filtered water every week, and a single monthly number on the bill instead of jugs, deposits and delivery fees.
Below are the main benefits, then convenience, water quality and the question of renting versus buying, which for us is simple: we only rent.
- Convenience: Installation, scheduled service and repairs are ours to handle, so nobody in your office has to manage the machine.
- Water quality: Every machine filters in seven stages and gets scheduled service, with replacement filters swapped about once a year.
- A known monthly fee: Plans start at $80 a month per dispenser*. Replacement filters are billed separately.
- A trial first: Seven days free, site visit included and no card required, before you commit to anything.
Rental suits offices that want the water handled and have nobody to spare for it. It suits less well a team of three that is happy with cases from the store, or a site with no water line near the break room. Next, what convenience looks like in practice.
What you stop doing
Rented machines come with installation, scheduled service and repairs bundled in, so the work of running the machine is ours and not yours. A bottleless unit connects to your building’s water line, so nobody carries jugs and nothing sits in a storage closet. Our installers handle the connection and the filter setup.
Service visits follow a schedule. Between them, support answers Monday to Friday, 8 AM to 5 PM, and if something does break we commit to being on site within 2 business days.
That is the convenience side. The next section covers what a rental does for water quality and cleanliness.
Water quality, cleanliness and what to ask about both
Every Aqualume machine filters in seven stages: sediment, pre-carbon, an RO/UF membrane, pH balance, sanitization, a nutrient boost, and a taste and odor polish. Pre-carbon handles chlorine and chemicals, and the membrane takes out metals and dissolved solids. Scheduled service keeps the machine itself clean, and replacement filters are swapped about once a year. Whoever you rent from, ask for the list of filtration stages and how often the filters are changed. A vague answer is worth noting.
Water Coolers: Usage and Global Context
This discussion of water coolers has two sections, first, how they are used in the United States and, second, how they are used in other countries. In the United States, water coolers are used in homes, offices, and schools. They are also used in hospitals and other healthcare facilities. In other countries, water coolers are used in homes, offices, and schools. They are also used in hospitals and other healthcare facilities.
Lonely drinking fountains and comforting coolers: paradoxes of water value and ironies of water use, 2011
Because we handle the service, the sanitation work is ours too. That is one more reason many offices rent instead of buy.
Renting versus buying, and why we only rent
We only rent, so we are not neutral, but the comparison is simple. Buying makes sense if you want to own the machine for many years, have someone in-house to arrange filters and repairs, and prefer one big payment to a monthly fee. Renting makes sense if you want those jobs gone. The cost of a rental shows up every month and you own nothing at the end, so check it against your current bill. Aqualume does not sell machines, so a rental with us ends with the machine going back. If you want to own, another vendor is the right call. A short-term or event need is the clearest case for not buying, and also the clearest case where we are not the answer, since we do not rent for events.

The types of dispenser, and which ones we rent
Water dispensers come in a few types: bottleless coolers, bottled dispensers, countertop units and freestanding coolers. The big divide is the water source. A bottleless unit connects to your plumbing and filters on site. A bottled unit depends on delivered jugs. Aqualume rents bottleless machines, in countertop and freestanding forms. Choose based on how many people use the tap and the space you can give it. Pick the type that matches your water supply first and the model second. The table puts the types side by side and says which ones we rent.
| Dispenser Type | Water Source | Filtration/Feature | Ideal Use-Case |
|---|---|---|---|
| Bottleless water cooler (what we rent) | Your building’s water line | Seven filtration stages | Offices and clinics with a water line nearby |
| Bottled water dispenser | Delivered jugs | Filtration varies by model | Sites with no water line (not what we rent) |
| Countertop bottleless unit | Water line | Lightstream, Blizzard or Jetstream | Small kitchens and reception counters |
| Freestanding bottleless unit | Water line | Glacier, Cascade, Avalanche or Gulfstream | Busy break rooms and common areas |
The trade-off is logistics versus waste. A bottleless unit cuts out jugs and delivery coordination. A bottled one is easier to place because it needs no water line, but someone has to order, lift and store the bottles. Next, how a bottleless rental works and what it needs from your building.
How a bottleless rental works, and what it needs from your building
A bottleless rental connects to your building’s water line and filters the water through its own stages before it reaches the tap, so there is no bottled supply. The machine holds filter cartridges that we replace, about once a year. You get rid of jug handling and you save yourself the plastic. In return, the machine needs a water supply and a power outlet within reach. Tell us where you plan to put it and we will confirm on the site visit that the plumbing is workable. If the nearest line is across the building, say so early, because that is the usual snag.
How many machines an office needs
An office setup runs from one freestanding machine in the break room to a few countertop units spread over a floor, depending on headcount and how people move around.
Larger offices sometimes pair a freestanding machine like the Glacier in the main break room with a countertop unit in a kitchenette. Staff size and how heavy the daily use is decide how many machines you need, and we size that on the site visit during the 7-day trial. Home setups are a different matter, and the next section explains why we do not do them. Ask us before you guess the number.
Homes: why we rent to businesses only, and what to do instead
We rent to businesses only, so we do not offer home rentals. If you are reading this as a household, a plug-in countertop dispenser or a filter pitcher will probably serve you better, and we would rather say so than quote something that does not fit. For businesses, our narrowest machines are the countertop Lightstream, 11.8 in wide, and the slim Gulfstream tower, also 11.8 in wide. Both suit a small office or a reception counter, and we confirm the fit on the site visit. We would rather lose a lead than rent you something that does not suit.
What a bottleless rental does about plastic
A bottleless machine takes one thing out of your supply chain: delivered plastic jugs. That is the environmental case, and it is a simple one. We have no figure for how much plastic any single office saves, because it depends on how many bottles you go through now, so count your own. Filters are a consumable too: replacement filters are billed separately, about once a year, and old cartridges do leave the building. If a provider makes big environmental claims, ask what they measured. Bottled suppliers sometimes offer recycling pickup, which is worth asking about if you stay on jugs.
Environmental Impacts: Rental vs. Conventional Water Purifier Models
This paper compares environmental impacts of the rental business model with the conventional model of manufacturing and selling. The case study examines a home use-water purifier by defining scenarios for operation and maintenance of the conventional and rental business models. Another purpose is to explore the potential improvement for the environmental performance of the rental business model in terms of the resource consumption and climate change.

What a rental costs
Rental prices depend on the machine, the number of units and the site. For Aqualume, plans start at $80 a month per dispenser*, and that covers the machine, installation, scheduled service and repairs. Replacement filters are billed separately, about once a year. Other companies price differently, some with a deposit, a per-bottle charge or a delivery fee, so the table lists what to ask instead of guessing at their numbers. Always ask for every fee as its own line.
| Plan Type | Monthly fee | Deposit | What the fee covers | Term |
|---|---|---|---|---|
| Event or short-term rental | Not offered | Not offered | Not offered by Aqualume | Not offered |
| Aqualume rental | From $80/mo* | Check the quote | Machine, installation, scheduled service and repairs | Set per site, in writing |
| Bottled delivery (other providers) | Check the quote | Check the quote | Varies by provider | Check the quote |
The Aqualume row shows our side only. Ask every provider for the same columns in writing, then compare. *Starting price; final pricing depends on the machine and site.
What moves the price
What drives a rental price is mostly the equipment, how many machines you need, how often someone services them, and how far a technician travels. The more that is bundled into one fee, the fewer surprise line items. Ask each provider about delivery charges, parts policies and travel fees, because those can change the real monthly cost a lot. For Aqualume the answer depends on the machine and the site, so we quote after we see both. Ask about these before you compare headline monthly numbers, since they are where quotes drift apart.
How to compare quotes
To compare, build a 12-month total for each option: monthly fees, per-bottle or delivery charges, filters, deposits, and any setup or move fees. That total shows real differences that the headline price hides.
Putting different billing styles on one yearly number is the whole point. Use the same assumptions for each option: how many people drink, how often filters change, how many deliveries. We cannot hand you a general savings figure, because it depends on your invoice. Send us your current bill and we will put a quote next to it, line by line. That is the fairest way to compare.
Fees to look for in the contract
Look for installation charges, filter or parts fees outside the base plan, early-termination penalties and relocation charges. With Aqualume, replacement filters are the item billed on top of the plan, about once a year. Whoever you choose, ask for a list of chargeable items and read the term in writing before you sign. Ask whether filters, parts, travel and relocation are priced as separate lines or rolled into the fee, and get the answer written down. A good provider will show you a sample invoice without being asked twice.
How to pick a rental company
Pick a provider on a few things: how fast they install, what the plan includes, how often they service the machine, what they do when it breaks, how clear the pricing is, and whether they cover your address. Some of this you can check from your desk, such as coverage and the term. Response speed you learn from reviews and from what they put in writing. Skip any company that will not answer plainly. The table lists what to verify.
| Provider Attribute | What to Verify | Value to You |
|---|---|---|
| Install lead time | How soon they can install, and how fast they answer a repair call | Less time without water |
| Installation cost | Whether the fee covers the hookup | No surprise setup fees |
| Service visits | How often filters change and the machine is serviced | Steady water quality |
| Repair response | Written response time for repairs | Less downtime |
Installation, service and repair response are the things to compare. Next is a checklist you can take into any quote call. Use it on each one.
Before you ask for a quote, run through these points with each company:
- Check their service area and how fast they respond.
- Ask what the monthly fee includes, in writing, line by line.
- Ask how filters are changed, how often, and who pays for them.
- Confirm the term, plus any installation, move or exit fees.
What to look for in a provider
Look for plain proof that the machine is serviced on a schedule, support that answers the phone, and contract wording you can follow. Ask for references from similar businesses. Those things decide whether the machine works next month and whether the water is safe to drink. Anyone who dodges a reference request is telling you something. Our support runs Monday to Friday, 8 AM to 5 PM, and our reviews are on Google: 5.0 from 22 of them.

Why maintenance and support matter in a rental agreement
Maintenance is where renting earns its fee. Filters, spigots and the cooling parts wear out, and a worn filter changes the water. Our plan covers scheduled service and repairs, and replacement filters are billed separately about once a year. One Google reviewer who switched to us wrote that with the previous provider they “had a really hard time getting anyone out for any service issues.” Ask any provider for a sample service schedule and what counts as an emergency before you sign.
What you can choose
Options are narrower than some brochures suggest. You choose the model and how many units, and the taps follow from the model: Glacier, Cascade and Jetstream have hot, cold and ambient water, Gulfstream and Lightstream have hot and cold, Blizzard has hot and ambient with nugget ice, and Avalanche makes ice only. Placement is agreed on the site visit. Anything beyond that, ask, because we would rather say no than promise a custom setup. If you have a fixed requirement, say so on the first call.
The rental process in four steps
A rental runs in four steps: choose a model and get a quote, book the installation, get scheduled service, and decide what happens at the end of the term. The provider takes care of the technical work, and you handle access to the space and normal use. With us the trial comes before anything is final: seven days free, site visit included, no card required. Each step below says what you can expect from us.
- Pick a model and ask for a written quote that lists what the fee includes.
- Book the installation. We visit the site first to check the water line, outlet and space.
- Get scheduled service visits on the agreed cycle, and ask to see the service record.
- At the end of the term, renew or have the machine removed. Aqualume does not sell machines.
That is the whole process in outline. Next are the setup details and the contract terms you should expect to see.
Setting up the rental in your office, step by step
Setup starts with a site visit: we check the water line, the outlet, the space and where people will stand to use the machine. Then our installers connect the water, set up the filters, test the water and the temperatures, and show your team how it works. Clear the space beforehand, and make sure someone knows where the water shutoff is. Afterwards, keep a clear path to the machine so a technician can reach it for service without moving furniture. We do not quote how long installation takes, because it varies by site.
Contract terms to expect
A rental contract normally states a term, how renewal works, who is liable for damage, and what is included or excluded. At Aqualume the term is set for your site, based on the models, how many you want and the setup, and confirmed in writing before you sign. Ask any provider about early termination, moving the machine and renewal, and ask for a sample contract. Ours lists filters as the extra item. Do not sign until every price and every exception is on paper.
How installation is handled, and who does what on the day
Machines are installed, not dropped off. Our installers connect the water, run the unit, check temperatures and flow, and go through a short checklist with you. They note the filter install date so the replacement schedule is clear, and show your team how to wipe the drip tray. After the install, you should know who to call. For us that is Monday to Friday, 8 AM to 5 PM, with a technician on site within 2 business days. Ask any provider the same, since a fuzzy answer here shows up later as downtime.
Free 7-day trial
Try a bottleless cooler in your office before you sign.
- 7-day free trial, we take it back if it isn't right
- Plumbed in: no jugs to lift, store or reorder

Questions we hear most about renting a water dispenser
Buyers keep asking about the length of a rental, how often a machine is serviced, and how bottled and bottleless differ. Short answers follow. They are for Aqualume specifically, and where the answer depends on your site we say so rather than guess. If your question is not here, call (833) 426-5863. Answers come first, then pointers to the longer sections for anyone who wants the reasoning behind them.
Short-term or long-term rental
Our rentals are for businesses, and the term is set per site, in writing, before you sign. We do not do event rentals or single-month rentals. If you only need water for a weekend, a bottled cooler from a party supplier is the better route. For an office that will use the machine for years, the term, renewal and what happens if you move are the questions to settle on paper. The 7-day free trial comes first, and if the machine is not a fit we remove it at no charge.
How often the machine is serviced
Visits follow a schedule set for your site, and the right cycle depends on the model and how many people use it. Each visit covers the filters, cleaning the machine and a check that everything pours properly. Replacement filters are billed separately, about once a year, and repairs are part of the plan. We do not list one fixed schedule here, because it would be wrong for some sites. Ask for yours in writing. We would rather set it per site than quote a number that suits nobody.
Bottled versus bottleless rentals: what changes for your office
Bottled supply comes by truck, and someone lifts, stores and returns the jugs. Bottleless is plumbed, so nothing is delivered, but it needs a water line and a power outlet. On cost, jugs add per-bottle or delivery charges, while a bottleless rental is a monthly plan with filters billed on the side. Which comes out cheaper depends on how many bottles you use, so compare your own invoice with a written quote. On waste, bottleless means no delivered plastic jugs, and some bottled suppliers offer recycling pickup. Neither route is free of chores; they are just different chores.
Finding a rental company near you
To find local rental companies, search for water cooler rental near you, then check each company’s service area, reviews and written quotes. Pick one that actually has technicians in your city. Aqualume covers Southern California: Los Angeles and Orange County, plus the Inland Empire, and our Los Angeles page shows what that looks like. Put the same short list of questions to each company, so the answers compare. Do the first screening by phone, since a company that is slow to answer a sales call will be slow to answer a repair call.
These steps help you find and vet local rental companies:
- Search local directories, and add your city and the word office to the search.
- Check reviews, and ask for references from similar businesses.
- Confirm their service area covers your address before you sign.
- Ask for a sample service schedule.
How to vet local companies
Start with local listings, then ask for written quotes and a sample service schedule from each. Confirm that the company covers your address and what its response time is. Ask for references, and ask what happens when a machine fails on a Friday afternoon. Those answers tell you more than the brochure. Skip any company that will not put the term and the fees in writing. Our own answer is on site within 2 business days, with support Monday to Friday, 8 AM to 5 PM.
Why a local rental company can matter for service and response
A company with technicians nearby can usually get to you faster and answer questions about local plumbing and buildings. That is the pitch for any local provider, so ask for proof, such as reviews and written response times. A bigger national chain may have scale, and it may or may not price better. For us the commitment is on site within 2 business days. If you run an office, clinic or studio in Southern California, that is the setup we are built around. Whichever company you pick, local or not, get its response time in writing.
